Privacy Policy
Last updated: October 12, 2026 · Draft pending review
1. Who we are
TruckerGuard AI ("TruckerGuard," "we," "us," or "our") provides fleet, compliance, dispatch, safety, and related software services for motor carriers and their teams. This Privacy Policy explains how we collect, use, share, and protect personal information when you visit our websites, create an account, contact sales, or use our products (including the OMS, driver portal, SmartPTI, and related apps).
2. Information we collect
We may collect:
• Account and contact details — name, work email, phone, company name, job title, and preferred portal subdomain.
• Business and fleet data you enter — drivers, vehicles, loads, documents, assignments, claims, maintenance, and compliance records.
• Billing information — subscription plan, payment status, and limited billing identifiers processed by our payment processor (we do not store full card numbers on our servers).
• Communications — messages you send via Contact Sales, support, or in-product channels.
• Technical data — IP address, device/browser type, approximate location derived from IP, cookies or similar technologies, and usage logs needed to operate and secure the service.
• Integrations you connect — data you authorize from ELD, fuel, GPS, or other vendors when those features are enabled.
3. How we use information
We use personal information to:
• Provide, operate, and improve the TruckerGuard platform.
• Create and administer company accounts, trials, and subscriptions.
• Respond to Contact Sales and support inquiries.
• Send service, security, and (where permitted) product communications.
• Detect fraud, abuse, and security incidents; enforce our Terms.
• Comply with law and respond to lawful requests.
• Analyze product usage in aggregated or de-identified form where feasible.
4. Legal bases (where applicable)
Where required (for example under GDPR/UK GDPR), we process personal data based on contract performance, legitimate interests (such as securing and improving the service), consent (where we ask for it), and legal obligations.
5. How we share information
We do not sell your personal information. We may share information with:
• Service providers who help us host, email, process payments, monitor uptime, or provide support (under contractual confidentiality and security obligations).
• Your organization — company admins and authorized roles can access data for their tenant.
• Integration partners you connect, as needed to fulfill the connection.
• Professional advisors, auditors, or insurers when reasonably necessary.
• Authorities when required by law or to protect rights, safety, and security.
• A buyer or successor in connection with a merger, financing, or sale of assets, subject to appropriate safeguards.
Historical and compliance records may be retained after account deactivation or termination as described in our Terms and retention practices.
6. Cookies and similar technologies
We use cookies and similar technologies for authentication, security, preferences, and analytics. You can control cookies through your browser settings; some features may not work if essential cookies are blocked.
7. Data retention
We retain personal information for as long as needed to provide the service, meet legal and compliance obligations (including motor-carrier recordkeeping expectations you configure or that apply to your operation), resolve disputes, and enforce agreements. When a subscription is canceled, access may continue until the paid period ends and then the account may be deactivated. Terminated accounts are closed for access, but historical and compliance data may remain archived under our retention policy rather than being immediately deleted.
8. Security
We implement administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is 100% secure; we encourage strong passwords and role-based access within your company.
9. Your rights and choices
Depending on your location, you may have rights to access, correct, delete, or export personal information, or to object to or restrict certain processing. Company admins typically manage tenant user access. To exercise privacy rights, contact us using the details below. You may also unsubscribe from non-essential marketing emails where offered.
10. Children’s privacy
TruckerGuard is a business service and is not directed to children under 16. We do not knowingly collect personal information from children.
11. International transfers
We may process information in the United States and other countries where we or our providers operate. Where required, we use appropriate transfer safeguards.
12. Changes
We may update this Privacy Policy from time to time. We will post the updated version with a revised “Last updated” date and, when changes are material, provide additional notice as appropriate.
